Information we collect

We receive information you provide when you inquire about a stay, request a reservation, communicate with us, or complete guest requirements. This may include your name, email address, phone number, address, travel dates, guest count, messages, rental agreement details, and reservation and payment status. Required guest verification may involve a government-issued ID and selfie through our verification providers.

Our website and its service providers may also collect basic usage information, such as IP address, browser and device type, pages visited, referring website, and approximate location derived from an IP address.

How we use information

We use information to respond to inquiries, review and manage reservation requests, arrange your stay, communicate check-in and guest information, process payments and refunds, complete guest verification, prevent fraud, maintain records, improve the website and guest experience, and meet tax and legal obligations.

Seven Pines Guest List

If you voluntarily join the Seven Pines Guest List, we collect your email address, your first name when provided, and subscription and consent information. We store and manage these details in Squarespace Contacts and use Squarespace Email Campaigns to send subscription confirmations, welcome messages, occasional special offers, seasonal availability updates, and direct-booking information. Where email confirmation is enabled, you must confirm your subscription before joining the mailing list.

You can unsubscribe from promotional emails using the unsubscribe link in those emails or by contacting Reservations@sevenpinesgalena.com. We may retain limited subscription records to honor your preferences. Booking a stay or contacting us does not automatically subscribe you to the guest list, and we do not automatically import Airbnb, Vrbo, or Hospitable reservation contacts into it. Unsubscribing from promotional emails does not stop messages needed to manage an existing reservation.

Squarespace may provide email delivery, open, and link-click information to help us understand how our emails perform and improve future messages.

Reservations and payments

We use third-party services including Squarespace for website hosting and website features, Hospitable for direct reservations and guest communications, and Stripe for payment processing. Information submitted through these services is processed according to their roles and privacy policies.

Seven Pines does not directly store full guest credit-card numbers. Payment details are handled through the payment processor; we may receive limited transaction information, payment status, and masked card details needed to manage a reservation.

How information may be shared
